What is 3Maples?

3Maples is the Landscaper's Operating System — an AI-first platform for landscaping and field-services companies. It covers customers, properties, materials, crews, and estimates today, and is growing into scheduling, job management, invoicing, and accounting & finance.

Who is 3Maples for?

Landscapers and field-services operators of any size — from one-person crews to large multi-crew operations. The platform scales with you.

Do I need to install anything?

No. 3Maples runs in your web browser. There's nothing to download, install, or update.

How long does it take to get set up?

Most companies are up and running in under 10 minutes. Import your customers, properties, and materials in one click using a CSV file, and 3Maples comes with pre-loaded rate cards, divisions, categories, and units so you don't have to start from scratch.

How do I sign up for 3Maples?

Signing up takes a minute — you just need your first name, last name, email, and a password. No credit card required. The person who signs up becomes the Owner of the account. After you verify your email, Maple walks you through a short onboarding to set up your company: import your properties, contacts, materials, and crew roles from a CSV, or start with blank lists. Pre-loaded rate cards, divisions, categories, and units are added automatically so you can start estimating right away.

What if I forget my password?

On the sign-in page, click Forgot Password and follow the steps to set a new one.

Do I need a credit card to sign up?

No. The Free plan needs no credit card. You only enter payment details if you choose to upgrade or exceed the Free plan's limits.

Can I import my existing customer list?

Yes. During onboarding (or any time later) you can upload a CSV file of properties and contacts. You can also CSV-upload materials and crew roles ("People").

How much does 3Maples cost?

The Free plan is $0 and supports 3 team members, 20 new estimates per month, and 50,000 Maple Credits. Paid plans (Base, Pro, Enterprise) are coming soon. See the pricing page for current details.

What happens if I go over my Free plan limits?

Extra users are $10/user/month and extra estimates are $3 each. You won't be locked out — but you do need a payment method on file before overages start.

What are Maple Credits?

Each question or action you ask Maple to do uses a small number of Maple Credits. Your plan comes with a monthly pool that's shared across your whole team. Current usage is on Settings → Billing.

Can I cancel anytime?

Yes. There's no long-term commitment. You can change your plan or close the company on Settings → Billing / Company.

What happens to my data if I close the company?

The company enters a 30-day grace period before everything is permanently deleted. If you change your mind during that window, contact us.

Can my team use 3Maples with me?

Yes. Invite teammates from Settings → Team Members. Each person gets their own login, and your Maple Credit pool is shared across the team.

What's the difference between Owner, Admin, and Member?

Owner has full access — billing, plan changes, and company closure. Admin can edit company settings, approve estimates, and delete materials and People roles. Member can create and edit records and estimates but can't approve estimates, edit company settings, or delete materials or People roles.

Can I remove a team member?

Yes. The Owner can remove anyone from Settings → Team Members. Members can also leave on their own.

Can I belong to more than one company?

No — one email can only belong to one company at a time. Leave the current company (or ask the Owner to remove you) before joining another.

Is my data secure?

Yes. Each company has its own private space — no other company can see your data. Sign-in is handled by Firebase Authentication, so passwords are never stored by us, and your data is stored encrypted.

Can I export my data?

CSV uploads are supported for bulk import. Export tools and a public API are on the roadmap (API & MCP access is part of the Pro plan).

Who or what is Maple?

Maple is the AI assistant built into 3Maples. Talk to her in plain language — type or speak — to create estimates, manage properties and contacts, look things up, and get answers.

Can I talk to Maple?

Yes — that's the main way to use 3Maples. Open Maple from the sparkle icon in the top-right corner of any page and talk to her in plain language, the way you'd say it out loud. You can type or use your device's voice input. Ask her to create estimates, add and look up properties, contacts, materials, and crew roles, or explain how something works. It's even fine to just say hi.

What languages does Maple understand?

Any language. Just write to Maple in whatever language you're comfortable with — Spanish, French, Portuguese, German, and many more — and she'll understand and reply in that same language. There's no setting to change and nothing to switch on. Spanish is the most polished today; every other language is fully supported with a clear, professional tone. If Maple ever can't make out a message, she'll let you know in your language and ask you to try again.

Is Maple just AI bolted onto old software?

No. The whole platform was built around the assistant from day one. Intelligence is the foundation, not an afterthought.

What is an agentic workflow, and why does 3Maples call itself agentic?

Traditional software is a set of rigid functions — if a function doesn't exist, the system can't do it. An agentic workflow gives the AI a goal, a set of tools, and the authority to figure out the best path to get there: it plans, uses tools, remembers what it has done, and self-corrects when something goes wrong. 3Maples is built around this from day one — Maple doesn't just answer questions, she carries out multi-step work like building a full estimate, adding records, and moving things through your workflow.

How does Maple know what to suggest on an estimate?

Maple uses industry standards, your company's materials and crew rates, and what she's learned from your past jobs. The more estimates you build, the more "you" the suggestions become.

Why won't Maple delete a whole list for me?

Bulk delete via chat is risky — one bad sentence could wipe out all your contacts. For safety, use the bulk-delete button on the page itself.

Why can't I manage equipment with Maple?

Equipment isn't connected to Maple yet.

Can Maple create new material categories?

No. Categories are managed on Settings → Materials Category. But Maple can list existing categories, find materials in a category, or move a material to a different category.

How much chat history does Maple remember?

About the last 40 chat turns. Older messages drop out of context. Clear the history any time to start a fresh session.

Why is People separate from Contacts?

Contacts are real individuals — your customers. People are crew roles (Crew, Foreman, Designer) used to price labor on estimates — they're not real employees yet (employee names, pay rates, and so on are coming soon). They answer different questions, so they live separately.

How do I create an estimate?

Click New Estimate on the Estimates page, or ask Maple ("create an estimate for lawn care service at 123 Main St"). Describe the job — kind of work, where, any known sizes, specific materials, and any special requirements — and Maple will suggest materials, crew roles, and activities with quantities and prices.

Do I have to use Maple, or can I build an estimate myself?

Either way works. You can let Maple build an estimate from a plain-language job description, or click New Estimate and build it manually — adding work items, materials, crew, and pricing yourself. And even when Maple builds it, nothing is locked in: you can adjust quantities and prices, and add or remove items, before you send it.

How does 3Maples work out the price of a job?

Each work item adds up its materials and labor, then applies your overhead, profit, and tax on top — so your price always covers your costs and your margin. Materials are priced from cost using your Materials Markup, and labor uses each crew role's fully loaded rate (wage + unbillable time + labor burden). The default percentages live on Settings → Company, and you can override overhead, profit, and tax on any individual work item. Maple makes sure nothing gets left out, so you don't underprice your work.

Can I save templates for jobs I do often?

Yes. Templates are saved work items — a predefined set of materials and activities — that you drop into a new estimate to save time and keep your pricing consistent. Create and manage them on Settings → Templates, then apply them from the Estimates page. Size-aware templates can carry a baseline size (e.g. 1,000 sq ft); when you apply one, you enter the actual job size and the material quantities and labor effort scale automatically.

How do I send an estimate to a customer?

Open the estimate and click New Version in the Documents toolbar. It generates a Google Doc in your company's Drive folder, ready to share or download as a PDF. Every generation saves a new version (v1, v2, v3, …) so you can track changes. To edit the Doc directly, save a copy to your own Google Drive and edit it there — in-app editing is coming in a future release.

Can I undo deleting an estimate?

No — delete is permanent and is only available while the estimate is in Draft. Use Archive if you might want it back later — archived estimates can be brought back as Review.

Can I edit an estimate after I send it?

Yes — while it's in Draft, Sent, or Review. Once it reaches Won, Scheduled, or Completed, it's locked.

What are recurring work items?

For repeat jobs (e.g. weekly maintenance), you can mark a work item as recurring and choose how often it repeats and over what period. The total is multiplied by the number of occurrences.

Can I round an estimate's total to a clean number?

Yes. Open any Work Item and click Adjust to round its total up or down (or set it to any value you like) — the system auto-recalculates that Work Item's profit % to match the new total. To round an entire estimate, Adjust each Work Item individually.

What are Rate Cards / Calculators?

Rate Cards (also called Calculators) are effort-based, industry-standard production rates for landscaping tasks — provided out of the box, and you can add your own. Each task has an Easy, Standard, and Hard rate; the estimate uses the right one based on how tough you say a job is. Manage them on Settings → Rate Cards / Calculators.

Can I customize the percentages (overhead, profit, tax)?

Yes. Defaults are set on Settings → Company, and you can override them on individual work items. Materials Markup, Standard Unbillable, and Labor Burden percentages also live there.

Can I use 3Maples on my phone or tablet?

Yes. 3Maples works in the mobile browser, so you can pull up or create a property, check, edit, or add a contact, or kick off an estimate from the field.

Does 3Maples integrate with QuickBooks?

QuickBooks integration is part of the upcoming Base plan. It will let you keep your books in sync without copying numbers between systems.

Will 3Maples replace my CRM, scheduling, and invoicing tools?

Estimates first. Scheduling, delivery, invoicing, and finance are all on the roadmap. 3Maples is built to be one connected platform — not a bag of disconnected tools.

How do I see what's new in the app?

Click the What's New tab in the Maple panel footer.

How do I report a bug or suggest a feature?

Click the Feedback tab in the Maple panel footer, pick a category (General Feedback, Report Issue, or Feature Request), and describe what happened. The 3Maples team gets it right away.

How do I get help if I'm stuck?

A few ways: ask Maple directly ("what can you do?", "how do I create an estimate?"), browse this FAQ, or post in the community forum. You can also reach the 3Maples team through the Feedback tab in the Maple panel (pick General Feedback, Report Issue, or Feature Request), and the Free plan includes email support.

How do I post in the community forum?

The community forum lives at community.3maples.ai. Reading is open to everyone. Register a free community account (or sign in with your 3Maples credentials if SSO is enabled) to post questions or reply to other users.

Is the forum moderated?

Yes. The 3Maples team and trusted community members review reports and hide anything off-topic, abusive, or spammy. Use the ⚑ Flag action on any post that needs attention.
