This Privacy Notice applies to the processing of personal information by 3Maples Inc. ("3Maples," "we," "us," or "our") including on our website available at https://3maples.ai or https://3maples.com (the "Site"), and our other online or offline offerings which link to, or are otherwise subject to, this Privacy Notice (collectively, the "Services").
Disclosure Regarding Customer Data. This Privacy Notice does not apply to the personal information that we process solely on behalf of our customers as a "processor" or "service provider" pursuant to a data processing addendum or other similar document we have entered into with such customers ("Customer Data"). Our customers' respective privacy notices or policies govern their collection and use of Customer Data. Our processing of Customer Data is governed by the contracts that we have in place with our customers, not this Privacy Notice. Any questions or requests relating to Customer Data should be directed to our customer.
1. Updates To This Privacy Notice
We may update this Privacy Notice from time to time in our sole discretion. If we do, we'll let you know by posting the updated Privacy Notice on our website, and/or we may also send other communications.
2. 3Maples is an AI-assisted Operational Software
We use artificial intelligence ("AI") and machine learning technologies to provide, improve, and support certain features and functionality of the Services, including automation, recommendations, content generation, data analysis, workflow optimization, and user support.
Information submitted to AI-powered features, including prompts, uploaded content, instructions, and generated outputs, may be processed by our systems and trusted third-party AI service providers solely for the purpose of providing and improving the Services.
We may utilize third-party artificial intelligence and cloud service providers to support certain functionality of the Services. Such providers process data in accordance with contractual confidentiality, security, and data protection obligations.
We may use de-identified and aggregated data to improve our machine learning models, services, and platform functionality. Customer Data and Customer Content are not used to train public or shared AI models unless explicitly authorized by the customer.
3. Personal Information We Collect
We collect personal information that you provide to us, personal information we collect automatically when you use the Services, and personal information from third-party sources, as described below.
a. Personal Information You Provide to Us Directly
We may collect personal information that you provide to us.
- Account Information. We may collect personal information in connection with the creation or administration of your account. This personal information may include, but is not limited to, your name, email address, phone number, and other information you store with your account.
- Your Communications with Us. We, and our service providers, may collect the information you communicate to us, such as through calls, emails or our chat tool offered via the Services. If you contact us through the chat features we may offer on our Services, we may monitor and retain those chat communications and store them with our service providers.
- Surveys. We may contact you to participate in surveys. If you decide to participate, we may collect personal information from you in connection with the survey.
- Interactive Features. We and others who use our Services may collect personal information that you submit or make available through our interactive features (e.g., messaging features, commenting functionalities, forums, blogs, and social media pages). Any information you provide using the public sharing features of the Services will be considered "public."
- Conferences, Trade Shows, and Other Events. We may collect personal information from individuals when we attend or host conferences, trade shows, and other events.
- Business Development and Strategic Partnerships. We may collect personal information from individuals and third parties to assess and pursue potential business opportunities.
- Job Applications. If you apply for a job with us, we will collect any personal information you provide in connection with your application, such as your contact information and CV.
b. Personal Information Collected Automatically
We may collect personal information automatically when you use the Services.
- Device Information. We may collect personal information about your device, such as your Internet protocol (IP) address, user settings, cookie identifiers, other unique identifiers, browser or device information, Internet service provider, and location information (including, as applicable, approximate location derived from IP address and precise geo-location information).
- Usage Information. We may collect personal information about your use of the Services, such as the pages that you visit, items that you search for, the types of content you interact with, information about the links you click, the frequency and duration of your activities, and other information about how you use the Services.
- Cookie Notice (and Other Technologies). We, as well as third parties, may use cookies, pixel tags, and other technologies ("Technologies") to automatically collect personal information through your use of the Services.
- Cookies. Cookies are small text files stored in device browsers.
- Pixel Tags/Web Beacons. A pixel tag (also known as a web beacon) is a piece of code embedded in the Services that collects personal information about use of or engagement with the Services. The use of a pixel tag allows us to record, for example, that a user has visited a particular web page or clicked on a particular advertisement. We may also include web beacons in e-mails to understand whether messages have been opened, acted on, or forwarded.

c. Personal Information Collected from Third Parties
We may collect personal information about you from third parties. For example, if you access the Services using a Third-Party Service (defined below), we may collect personal information about you from that Third-Party Service that you have made available via your privacy settings. We may import information from your LinkedIn profile if it is publicly available. We may obtain personal information about you from the organization with which you are employed or affiliated in order to activate and manage your access to and use of the organization's subscription to the Services, including your name, organizational email address, phone number, job title, and organizational user ID.
In addition, we may collect personal information from 3Maples customers including, but not limited to, personal information about employees, existing clients, leads, and prospects and we may also collect personal information from other commercially available sources including, but not limited to, data co-ops and data brokers (collectively, "Leads Data").
4. How We Use Personal Information
We use personal information for a variety of business purposes, including to provide the Services, for administrative purposes, and to provide you with marketing materials, as described below.
a. Provide the Services
We use personal information to fulfill our contract with our customer and to provide the Services, such as:
- Managing personal information;
- Providing you with access to certain areas, functionalities, and features of the Services;
- Allowing you to review and analyze information and data via the Services;
- Answering requests for support and use of our forum;
- Communicating with you;
- Sharing personal information with third parties as needed to provide the Services;
- Processing your financial information and other payment methods for products and Services purchased;
- Processing applications if you apply for a job we post on our Services; and
- Allowing you to register for events.
b. Administrative Purposes
We use personal information for various administrative purposes, such as:
- Training our AI and ML models;
- Pursuing our legitimate interests such as direct marketing, research and development (including marketing research), network and information security, and fraud prevention;
- Detecting security incidents, protecting against malicious, deceptive, fraudulent or illegal activity, and prosecuting those responsible for that activity;
- Carrying out analytics;
- Measuring interest and engagement in the Services;
- Improving, upgrading, or enhancing the Services;
- Developing new products and services;
- Creating de-identified and/or aggregated information;
- Ensuring internal quality control and safety;
- Authenticating and verifying individual identities, including requests to exercise your rights under this Privacy Notice;
- Debugging to identify and repair errors with the Services;
- Auditing relating to interactions, transactions, and other compliance activities;
- Enforcing our agreements and policies; and
- Carrying out activities that are required to comply with our legal obligations.
c. Marketing
We may use personal information to tailor and provide you with marketing and other content we think you will find valuable. We may provide you with these materials using any of the contact means available to us (e.g., phone, mobile, or email), through the Services, or through our marketing campaigns on any other sites or platforms and as permitted by applicable law. d. With Your Consent or Direction
We may use personal information for other purposes that are clearly disclosed to you at the time you provide personal information, with your consent, or as otherwise directed by you.
e. Automated Decision-Making and Profiling
We may engage in profiling and automated decision-making in connection with the Services, including in connection with our AI-powered features. We do not currently use automated decision-making to produce legal or similarly significant effects on individuals without human review. Where required by applicable law, you may have the right to opt out of profiling in furtherance of decisions that produce legal or similarly significant effects. 5. How We Disclose Personal Information
We disclose personal information to third parties for a variety of business purposes, including to provide the Services, to protect us or others, or in the event of a major business transaction such as a merger, sale, or asset transfer, as described below.
a. Disclosures to Provide the Services
We may disclose any of the personal information we collect to the categories of third parties described below.
- Service Providers. We may disclose personal information to third-party service providers that assist us with the provision of the Services. This may include, but is not limited to, service providers that provide us with hosting, customer service, analytics, marketing services, IT support, and related services.
- Other Users You Share or Interact With. The Services may allow 3Maples users to share personal information or interact with other users of the Services.
- Third-Party Services You Share or Interact With. The Services may link to or allow you to interface, interact, share information with, direct us to share information with, access and/or use third-party websites, applications, services, products, and technology (each a "Third-Party Service"). We may also use third-party application program interfaces ("APIs") as part of the functionality of our Services. Any personal information shared with a Third-Party Service will be subject to the Third-Party Service's privacy policy. We are not responsible for the processing of personal information by Third-Party Services.
- Business Partners. We may share your personal information with business partners to provide you with a product or service you have requested. We may also share your personal information with business partners with whom we jointly offer products or services. Once your personal information is shared with our business partner, it will also be subject to our business partner's privacy policy. We are not responsible for the processing of personal information by our business partners.
- 3Maples Customers (Authorized Users Only). In cases where you use our Services as an employee, contractor, or other authorized user of a 3Maples customer, that customer may access information associated with your use of the Services including usage data and the contents of the communications and files associated with your account. Your personal information may also be subject to the 3Maples customer's privacy policy. We are not responsible for the 3Maples customer's processing of your personal information.
- Affiliates. We may share your personal information with our corporate affiliates.
b. Disclosures to Protect Us or Others
We may access, preserve, and disclose any information we store associated with you to external parties if we, in good faith, believe doing so is required or appropriate to: comply with law enforcement or national security requests and legal process, such as a court order or subpoena; protect your, our, or others' rights, property, or safety; enforce our policies or contracts; collect amounts owed to us; or assist with an investigation or prosecution of suspected or actual illegal activity.
c. Disclosure in the Event of Merger, Sale, or Other Asset Transfers
If we are involved in a merger, acquisition, financing, reorganization, bankruptcy, receivership, purchase or sale of assets, transition of service to another provider, or other similar corporate transaction, your personal information may be disclosed, sold, or transferred as part of such a transaction.
6. Your Privacy Choices and Rights
Your Privacy Choices
The privacy choices you may have about your personal information are described below.
- Email Communications. If you receive an unwanted email from us, you can use the unsubscribe functionality found at the bottom of the email to opt out of receiving future emails. Note that you will continue to receive transaction-related emails. We may also send you certain non-promotional communications regarding us and the Services, and you will not be able to opt out of those communications (e.g., communications regarding the Services or updates to this Privacy Notice).
- Text Messages. If you receive an unwanted text message from us, you may opt out of receiving future text messages from us by following the instructions in the text message you have received from us or by otherwise contacting us as set forth in "Contact Us" below.
- Mobile Devices. We may send you push notifications through our mobile application. You may opt out from receiving these push notifications by changing the settings on your mobile device. With your consent, we may also collect precise location-based information via our mobile application. You may opt out of this collection by changing the settings on your mobile device.
- Account Deletion. You have an option to delete your entire account record, along with all associated personal information. You can do so within your 3Maples App account settings. However, you won't be able to delete information, including personal information, that we are legally required to maintain.
- "Do Not Track." Do Not Track ("DNT") is a privacy preference that users can set in certain web browsers. Please note that we do not respond to or honor DNT signals or similar mechanisms transmitted by web browsers.
- Cookies. You may stop or restrict the placement of Technologies on your device or remove them by adjusting your preferences as your browser or device permits. However, if you adjust your preferences, the Services may not work properly. Please note that cookie-based opt-outs are not effective on mobile applications. However, you may opt-out of certain tracking on some mobile applications by following the instructions for Android, iOS, and others.
The online advertising industry also provides mechanisms that may allow you to opt out of receiving targeted ads from organizations that participate in self-regulatory programs. To learn more, visit the Network Advertising Initiative, the Digital Advertising Alliance, and the European Digital Advertising Alliance. Please note you must separately opt out in each browser and on each device.
Your Privacy Rights
In accordance with applicable law, you may have the right to:
- Request Access to or Portability of Your Personal Information;
- Request Correction of Your Personal Information;
- Request Deletion of Your Personal Information;
- Request Restriction of or Object to Our Processing of Your Personal Information; and
- Withdraw Your Consent to Our Processing of Your Personal Information. Please note that your withdrawal will take effect only for future processing and will not affect the lawfulness of processing before the withdrawal.

If your personal information is subject to the applicable data protection laws of the European Economic Area or the United Kingdom, you have the right to lodge a complaint with the competent supervisory authority if you believe that our processing of your personal information violates applicable law.
7. International Transfers of Personal Information
The Services are operated from and intended for users located in the United States. Personal information processed by us, and by our service providers, may be transferred, processed, and stored in the United States and other countries, which may have data protection laws different from the laws where you live. By using the Services, you consent to such transfer, storage, and processing.
8. Retention of Personal Information
We store the personal information we collect as described in this Privacy Notice for as long as you use the Services, or as necessary to fulfill the purpose(s) for which it was collected, provide the Services, resolve disputes, establish legal defenses, conduct audits, pursue legitimate business purposes, enforce our agreements, and comply with applicable laws.
To determine the appropriate retention period for personal information, we may consider applicable legal requirements, the amount, nature, and sensitivity of the personal information, certain risk factors, the purposes for which we process your personal information, and whether we can achieve those purposes through other means.
9. Data Security
We maintain reasonable administrative, technical, and physical safeguards designed to protect the personal information we process against accidental, unlawful, or unauthorized destruction, loss, alteration, access, disclosure, or use. These safeguards include encryption of personal information in transit, access controls, logging and monitoring, and contractual security obligations with our service providers. No security program is perfect, however, and we cannot guarantee the absolute security of personal information. You are responsible for maintaining the confidentiality of your account credentials and for promptly notifying us of any suspected unauthorized access to or use of your account.
10. Supplemental Notice for California Residents
This Supplemental Notice for California Residents applies only to California residents and supplements the information contained elsewhere in this Privacy Notice. It is provided pursuant to the California Consumer Privacy Act of 2018, as amended by the California Privacy Rights Act (collectively, the "CCPA").
Categories of Personal Information We Collect
Over the past 12 months, we have collected the following categories of personal information about California residents:
- Identifiers (e.g., name, email address, phone number, IP address, account ID, online identifiers).
- Customer Records as defined in Cal. Civ. Code § 1798.80 (e.g., name, address, phone number, employment or education information).
- Commercial Information (e.g., records of products or services purchased, considered, or transaction history).
- Internet or Other Electronic Network Activity (e.g., browsing history, search history, interactions with our Services).
- Geolocation Data (e.g., approximate location derived from IP address).
- Professional or Employment-Related Information (e.g., job title, employer, information submitted with a job application).
- Inferences drawn from the above to create a profile reflecting preferences, characteristics, or behavior.
We do not knowingly collect "sensitive personal information" as defined under the CCPA for purposes other than those permitted without a right to limit (e.g., to provide the Services you have requested, ensure security and integrity, or comply with law).
Sources of Personal Information
The categories of sources from which we collect personal information are described in Section 3 above and include: directly from you, automatically from your device when you use the Services, from our customers, and from third-party sources such as social networks, public databases, and data co-ops and brokers.
Business or Commercial Purposes for Collecting Personal Information
We collect personal information for the business and commercial purposes described in Section 4 above, including to provide the Services, for administrative purposes, marketing, and as otherwise permitted by law.
Disclosure of Personal Information
We disclose the categories of personal information described above to the categories of third parties described in Section 5 (e.g., service providers, affiliates, business partners, advertising partners, and other authorized parties).
Sale or Sharing of Personal Information
We do not sell your personal information in exchange for monetary or other valuable consideration, and we do not "share" personal information for cross-context behavioral advertising as those terms are defined under the CCPA. We have not done so in the preceding 12 months. If our practices change in the future, we will update this Privacy Notice and provide a mechanism for you to opt out as required by applicable law.
We honor opt-out preference signals such as the Global Privacy Control (GPC) when received from your browser.
Retention
We retain personal information for the periods described in Section 8 above.
Your California Privacy Rights
If you are a California resident, you have the following rights, subject to certain exceptions:
- Right to Know. You may request that we disclose to you the categories and specific pieces of personal information we have collected about you, the categories of sources, the business or commercial purposes for collecting, selling, or sharing personal information, and the categories of third parties to whom we have disclosed personal information.
- Right to Delete. You may request that we delete personal information we collected from you, subject to certain exceptions.
- Right to Correct. You may request that we correct inaccurate personal information we maintain about you.
- Right to Opt Out of Sale or Sharing. You may request that we not sell or share your personal information.
- Right to Limit Use and Disclosure of Sensitive Personal Information. Where applicable, you may request that we limit our use of any sensitive personal information to certain permitted purposes.
- Right to Non-Discrimination. We will not discriminate against you for exercising any of your CCPA rights.
To exercise any of these rights, please contact us as set forth in "Contact Us" below. We will verify your request using information associated with your account, including your email address. You may also designate an authorized agent to make a request on your behalf, in which case we may require proof of the agent's authorization. We will respond to verified consumer requests within the time periods required by the CCPA. If we cannot comply with a request, we will explain the reasons in our response.
Notice of Financial Incentives
We do not currently offer financial incentives in exchange for the collection, sale, or retention of personal information.
Shine the Light
California Civil Code § 1798.83 permits California residents to request certain information regarding our disclosure of personal information to third parties for those third parties' direct marketing purposes. To make such a request, please contact us as set forth in "Contact Us" below.
11. Supplemental Notice for Other U.S. State Residents
This section applies to residents of U.S. states other than California that have enacted comprehensive consumer privacy laws, including (as of the Last Updated date above) Virginia, Colorado, Connecticut, Utah, Oregon, Texas, Iowa, Indiana, Tennessee, Montana, Delaware, New Hampshire, New Jersey, Maryland, Minnesota, Nebraska, Kentucky, and Rhode Island ("U.S. State Privacy Laws"). It supplements the information contained elsewhere in this Privacy Notice.
Categories of Personal Information
The categories of personal information we process, the sources of that information, and the purposes for which we collect and use it are described in Sections 3, 4, and 5 above.
Sensitive Personal Information
We do not knowingly process "sensitive data" (as defined under U.S. State Privacy Laws) without obtaining consent where required by law, except for limited operational purposes permitted under those laws (such as providing the Services you have requested or ensuring security and integrity).
Your Rights
Depending on your state of residence and subject to certain exceptions, you may have the following rights:
- Right to Access. Confirm whether we process your personal information and obtain a copy.
- Right to Correct. Correct inaccurate personal information.
- Right to Delete. Request deletion of personal information we have collected from or about you.
- Right to Portability. Receive a copy of your personal information in a portable, machine-readable format.
- Right to Opt Out of (i) the sale of personal information, (ii) targeted advertising, and (iii) profiling in furtherance of decisions that produce legal or similarly significant effects.
- Right to Limit the use of sensitive personal information, where applicable.
- Right to Appeal. If we deny your request to exercise any of the above rights, you may appeal our decision by replying to our response or by contacting us as set forth in "Contact Us" below. We will respond to appeals within the time period required by applicable law.

To exercise any of the above rights, please contact us as set forth in "Contact Us" below. We will verify your request using information associated with your account, including your email address. You may also designate an authorized agent to make a request on your behalf, in which case we may require proof of the agent's authorization. We will respond to verified requests within the time periods required by applicable law.
Targeted Advertising and Sale of Personal Information
As described in Section 10 above, we do not sell personal information, nor do we process personal information for targeted advertising or "sharing" as those terms are defined under U.S. State Privacy Laws. If our practices change in the future, we will update this Privacy Notice and provide a mechanism for you to opt out as required by applicable law. We honor opt-out preference signals such as the Global Privacy Control (GPC) when received from your browser.
12. Users Outside the United States
The Services are operated from and primarily intended for users located in the United States. We do not actively target or solicit users in other jurisdictions. If you access the Services from outside the United States, your personal information will be transferred to, stored, and processed in the United States, which may have data protection laws different from those in your country of residence.
If you are a resident of the European Economic Area, the United Kingdom, Switzerland, or another jurisdiction with comprehensive data protection laws, please note that we have not implemented the full set of compliance measures required by those laws (such as the EU/UK General Data Protection Regulation). 13. Children's Personal Information
The Services are not directed to children under 13, and we do not knowingly collect personal information from children under 13 in violation of the Children's Online Privacy Protection Act ("COPPA"). For California residents, we also do not knowingly sell or share the personal information of consumers under 16 years of age without affirmative authorization, as described in Section 10 above.
If you are a parent or guardian and believe your child has provided personal information to the Services in violation of applicable law, please contact us as described in "Contact Us" below, and we will take appropriate steps to delete such information.
14. Third-Party Websites/Applications
The Services may contain links to other websites/applications and other websites/applications may reference or link to our Services. These third-party services are not controlled by us. We encourage our users to read the privacy policies of each website and application with which they interact. We do not endorse, screen, or approve, and are not responsible for, the privacy practices or content of such other websites or applications. Providing personal information to third-party websites or applications is at your own risk.
